How to Transfer Keytabs to a Different Employee

When receiving records from your JobClock, ExakTime Connect will look for the employee and cost code that a keytab is assigned to for their time cards. If the keytabs ever change hands, the keytabs will need to be transferred to the new employee with an effective date to indicate "from this point forward, any clock in/out with this keytab belong to this employee with this cost code."

The clock in/outs associated with the prior employee will not be lost with this process, those keytabs will instead create a new association with the new employee after the effective date specified.

  • Go to Manage in the top menu bar then click on Employees from the menu.


  •  Find the employee that will be receiving the keytabs and click the “Edit” icon to the left of the employee name.


  •  Click on Keytabs.


  • Click Transfer Keytabs.


  • In the drop-down menu, find the Employee you wish to transfer their keytabs from. You can select either all the keytabs for the employee, or specific keytabs.


  • Click Transfer when finished. The keytabs will be listed below with the note "Unsaved Changes."


  • Click Save. The keytabs transfer is now permanent.


Adjusting The Effective Date For A KeyTab

Whenever a keytab is added/transferred to an employee, it will use the date and time of your computer  at the time of adding/transferring to determine the effective date. The effective date is the date and time of when any use of the keytab is associated with the employee it has been added to. The effective date cannot be made earlier than the first time a keytab was added to ExakTime Connect. If the keytab(s) already exist in the system, then you can adjust the effective date, but it cannot be made earlier than the previous effective date.

  • After a keytab has been assigned and saved to an employee, click the pencil icon to the left of the keytab.


  • A small window will appear that will allow you to adjust the effective date.


    • While adjusting the effective date/time, you may receive a warning indicating that any past records associated will be updated to match the new effective date.
    • Effective dates cannot be set a future date/time.
    • Effective dates cannot go beyond the previous effective date.
  • Once read, click Set Effective Date and press Save.
